Get to know the Reception Team at Rotarex

WHAT DOES YOUR TEAM DO ?
The Reception team consists of two people : Silvia and Cristina. While their primary responsibility is to greet visitors and answer phone calls, their role goes far beyond that.
They also provide significant administrative support, handling reservations (hotels, transportation, meeting rooms), ordering supplies, processing meal requests, and addressing numerous requests from employees. Their goal is to make everyone’s day-to-day work easier while giving Rotarex visitors a professional and warm first impression.
WHAT IS A TYPICAL DAY LIKE ?
Each day begins with preparing to welcome visitors and handling incoming requests. As the day progresses, I move from one task to the next : greeting visitors in person and on the phone, managing mail, organizing reservations, processing orders, and assisting colleagues.
No two days are alike.
Priorities are constantly shifting depending on emergencies and last-minute requests. The team must therefore be able to organize quickly and assign tasks to ensure high-quality service.
WHAT ARE THE CHALLENGES OF THE JOB ?
This job requires a high degree of adaptability. Urgent requests, interruptions, and schedule changes are common. You need to be able to stay focused, handle multiple tasks at once, and keep track of each case.
Some situations can also be particularly complex, such as arranging hotel reservations or emergency transfers, or even finding temporary housing for an employee. Every problem requires responsiveness, organization, and creativity.
WHAT KIND OF DAILY INTERACTIONS DOES THE TEAM HAVE?
The reception desk works closely with many departments on a daily basis, including Human Resources, Learning & Development, and HSE. But beyond these teams, it is in constant contact with all employees, as well as with visitors, customers, and partners.
Communication and a commitment to service are at the heart of this profession. By listening carefully and coordinating effectively, we are able to respond efficiently to the many requests we receive every day.

To succeed in a receptionist role, you must, above all, enjoy interacting with people, be thorough, and know how to manage priorities. Organizational skills, the ability to work independently, excellent communication skills, and the ability to remain calm when faced with the unexpected are essential qualities.
